Communications & Administrative Officer

The Embassy of Denmark in Kampala is looking to recruit a Communications and Administrative Officer who will be responsible for managing the administration of the Ambassador’s office as well as increasing the Danish Embassy’s public diplomacy efforts, including awareness of Denmark and Denmark’s development cooperation engagements in Uganda.

The communications role will be primarily accomplished through the Embassy’s social media and more traditional media platforms including newspapers, magazines, TV and radio. It shall include developing communication plans, developing and maintaining media network and ensuring visibility with regard to Danida’s interventions in Uganda. The management of the Ambassadors office shall include managing the Ambassadors appointments and calendars; preparing official correspondence including protocol affairs and filings; planning, organising and coordinating logistics and protocol related to official Embassy functions including official visits, dinners and other formal and social events; as well as managing official expenditures related to the aforementioned events.

Key Responsibilities:

  • Develop, implement and monitor short and long term communication plans for the Embassy, including specific activities, events and budgets, which will strengthen the image of Denmark, Danish core values, ideas and culture in Uganda.
  • Keep relevant stakeholders informed about Danish funded activities and events through local media and the Embassy’s social media platforms.
  • Develop a network with key media houses and other relevant stakeholders and serve as a focal point for the Embassy press and media events.
  • Work closely with the Embassy’s Programme Staff and Management to identify results based stories and enhance the capacity of staff’s communication skills, including participating in field visits.
  • Liaise with the Embassy’s external partners and stakeholders to ensure visibility regarding interventions and results, including organizing and managing events.
  • Manage and maintain the Ambassador’s/Deputy Head of Mission’s appointment schedule, and correspondence to ensure timely response to, and delivery of, official functions invitations.
  • Manage and coordinate the Embassy events calendar and oversee the planning, coordination and logistics of Embassy functions to be hosted and or attended by the Ambassador/Deputy Head of Mission.
  • Prepare official correspondence with relevant Government of Uganda ministries, agencies and departments, other Embassies and other external stakeholders.
  • Manage and monitor the travel, meetings, conferences, dinners and other official functions budget/s and provide accountabilities of expenditures related to these functions and events.

Minimum qualifications, experience, knowledge and skills:

  • A Bachelor’s degree in public relations or communications or related field;
  • At least five (5) years of relevant experience from similar communication/PR and administrative work from either a private company, a public institution or a larger (1)NGO;
  • Experience with developing communication plans including use of online, print and social media channels;
  • Strong analytical capacity with critical attention to detail;
  • Excellent written and oral communication skills
  • Good interpersonal and networking skills and experience with working in a multi-cultural environment;
  • Ability to adhere to rules and regulations of the Embassy of Denmark;
  • Experience from Uganda will be an added advantage.
